Community Spaces

The mission of Grapevine Collective is to offer affordable community event space. To keep costs low we are an all volunteer team, and are not able to assist with setup, takedown, providing food or drinks, or running sound/technology for events. These responsibilities all fall on the event coordinators. If your organization does not regularly use the space, or your event has any specific needs (unlocking the building, locating tables, setting up AV equipment, etc) should be communicated ahead of time so we can coordinate with you.

New City Center features four community spaces, each suited for different group sizes and energies. From the Cedar Room (Sanctuary) to the Willow Room (Meeting Room), you will find a space that fits your event, and your organization’s budget.

Each space is available in 3-hour time slots. When booking, the times listed are the start times for each remaining time slot in that day.

Cedar Room (Sanctuary)

*AV equipment can be setup when a volunteer technician is available. Please indicate in your booking if you’d like to use AV equipment. Grapevine Collective does not offer any services to run AV during your event, only setting up equipment and briefly explaining its use to someone your organization chooses.

New City Center was constructed with accessibility in mind. Each ground floor entrance is ramped, and has ADA compliant push-button door operators to open and hold doors. Inside, there is an elevator to move guests from floor to floor.

Building Use Policy

Room use: We have many regular renters and one-time events at New City Center. Please respect other groups’ use of the space by leaving the room you use as you found it. No alterations may be made to the room set-up without express permission from Grapevine Collective staff. Any damage, alterations, or leaving materials outside of designated storage space may result in an extra charge to your bill or discontinuation of your rental agreement. Please only use the space that you have agreed upon in the rental agreement. You may rent other spaces in the building with permission and extra payment unless otherwise agreed upon.

Clean-up: Please leave enough time to set up the room to fit your group’s needs and to leave the room as you found it. All public activities must end at 10 pm. Clean-up must be done and everyone gone by midnight (This does not apply to groups who have an exclusive use agreement for a building space). Groups who have exclusive use of an office space can choose to clean their own space and not have the building janitor come through. 

Music: Any music must stop or be very quiet (only heard in one room) at 10pm. 

Candles & incense: No candles, incense, or open flames of any kind are allowed.

Entry arrangement: Please be mindful of other renters in the building. By renting at New City Center, you are welcomed into a community of healing, peace, and justice-oriented work. Please help us keep this environment safe and healthy by being mindful of noise, as well as the security of the entry doors. 

Especially for nighttime events, the entry doors cannot be left unattended. The doorbell can be disruptive, so please do your best to avoid use as a method of entry for your group. 

Decorations: No decorations with glitter. No confetti.  No tape on the walls (except blue painter’s tape).

Elevator: Children should not be in the elevator unless they are with an adult.  The elevator is for people who have trouble using the stairs and for moving heavy things to another floor.  

Events in the Cedar Room (Sanctuary): No more than 322 people at one time (fire code). 

Events in the Cottonwood Room (Dining Hall): No more than 96 people at one time (fire code).

Substance Use: No alcohol or substance use is allowed on the premises

Release of Liability: Renter agrees to hold harmless, indemnify, and defend New City Church and the Grapevine Collective (including New City Church’s and Grapevine Collective’s agents, employees and representatives) from any and all liability for injury or damage including, but not limited to, bodily injury, personal injury, emotional injury, or property damage which may result from any person using the above described premises, its entrances and exits, and surrounding areas, for Renter’s purposes, regardless of whether such injury or damage results from the negligence of New City Church and/or the Grapevine Collective (including New City Church’s and Grapevine Collective’s agents, employees and representatives) or otherwise.

Payment Policy

Payment: Payment for your use of space at New City Center should be made in the form of a contribution to the Grapevine Collective. Payments are due on the day of your event, and can be made at grapevinecollective.org/support.

Cancellation: There is no cancellation fee. Please be considerate, and provide 48 hours advance notice if you plan on canceling your event, so that others might use the space instead.

Invoicing: Invoices are prepared on a weekly basis. You will receive a single invoice for all usage within a given week that you booked.

Sliding-scale: All prices listed (including add-ons for AV, setup, etc) are suggested amounts, based on the minimum amount it costs to operate the building. Please contribute what you or your organization can to support the work that Grapevine Collective does to make use of New City Center as financially accessible as possible.

Frequently Asked Questions

How can I book a recurring event?

It depends!

If you or your organization is interested in booking a recurring event that does have a set end date, please use the booking form associated with the space you need to book each week through the end of your event. This is the easiest way to prevent booking conflicts during the times you are looking for.

If you or your organization is interested in booking a recurring event that does not have a set end date, please contact calendar@grapevinecollective.org. Recurring events that do not have a set end date are considered Exclusive Use (versus Communal Use) of the building, are not sliding-scale, and require a separate Space-Use Agreement (similar to a Lease).

Is there sliding-scale pricing?

Yes! All prices listed (including add-ons for AV, setup, etc) are suggested amounts, based on the minimum amount it costs to operate the building. Please contribute what you or your organization can to support the work that Grapevine Collective does to make use of New City Center as financially accessible as possible.

Can I have alcohol at my event?

No. Alcohol and drug use is not permitted on the premises. New City Center is used by various addiction support groups, as well as children and families. To keep the building safe and welcoming for all in our community, we require that alcohol and drug use not take place on the premises.

Why can I only book in 3 hour time slots? I only need 1 hour.

In order to most efficiently make use of the building, each day is split into 4 different 3-hour time slots. This is built on an acknowledgement that if someone books a room at 7pm, even for 1 hour, no one will realistically use it starting at 8pm.

By asking everyone to place their events into these time slots, we minimize unexpected conflicts and also ensure that each event has plenty of breathing room to go a little longer than most typically would.

Can I come in early to setup?

No. If you anticipate that your event will require significant setup or cleanup time, please be sure to book an additional time slot before or after. This helps to make sure everyone can plan appropriately and no one feels rushed to wrap things up.

However, there is built-in flex time between 5pm and 6pm, when no bookings are made. During that time evening events can come in to setup while afternoon events are packing up, but please be respectful of each other’s space. Evening events may go as late as 11pm when cleaning, but ideally should be wrapped up and out by 9pm.

Will you help me setup my event?

We will help you find what you need, but we can’t setup your event for you. The Grapevine Collective is entirely volunteer run, which keeps costs low for all the community groups who use the space. In that spirit, we ask that you find volunteers from within your group to help with setting up and tearing down your event. If needed, a Site Host can be requested to help you do some setup tasks: open and close the building, setup some AV equipment, locate tables and chairs. But we do not have any paid staff who will prepare the space to your liking, or handle cleanup.
